Subscription Billing: How to Set Up Recurring Payments for Your Business

Trial windows, dunning, proration, and the metrics that matter for SaaS revenue.

Building a subscription business is half product and half plumbing. The product half is well-covered everywhere on the internet. The plumbing half — billing, dunning, proration, tax — is the part that quietly determines whether your MRR is real or imaginary.

The data model decisions that matter

Every billing system eventually needs four entities:

  • Customer with a payment method on file.
  • Plan with price, currency, and billing interval.
  • Subscription linking the customer to one or more plans.
  • Invoice with line items, taxes, and a status.

Get these right at the start and the rest of billing becomes mostly configuration. Get them wrong and every reporting question takes a week.

Trials, free or paid

Two patterns dominate:

  • Free trial requiring a card. Higher conversion to paid, lower top-of-funnel signups.
  • Reverse trial. Full features for 14 days, no card, then automatic downgrade to a free tier.

The right choice depends on price and audience. SMB tools under $50/month tend to do well with reverse trials. Enterprise products almost always require a card up front.

Dunning is not optional

Around 7-12% of card charges fail every month, mostly from expired or replaced cards. Without an automated retry strategy, churn from "involuntary" cancellations alone can be 5% of MRR. A reasonable default:

  • Day 0: charge fails. Email customer, retry in 3 days.
  • Day 3: retry. If fail, email and retry in 4 days.
  • Day 7: retry. If fail, email and retry in 7 days.
  • Day 14: cancel subscription with grace-period email.

Proration that customers can read

The single hardest billing UX question is "how do you charge a customer who upgrades mid-cycle?" Your two reasonable answers are:

  • Charge the prorated difference today, and shift the next billing date to the new plan.
  • Apply the difference as a credit and charge it on the next normal billing date.

Pick one and explain it clearly on the invoice. Mixing both confuses customers and increases support volume.

The metrics to watch

  • MRR / ARR. The headline number, but easy to misreport. Be precise about what counts: are upgrades counted as new MRR or expansion?
  • Net revenue retention (NRR). MRR from your existing customer base 12 months later. Above 100% means expansion outpaces churn — the strongest signal of product-market fit.
  • Involuntary churn percentage. What share of cancellations come from failed payments vs explicit cancels.
  • Time-to-recovery on failed charges. How long it takes, on average, to get a customer back into "good standing."

Tax, the boring but important part

If you sell to customers in the EU, the UK, or many U.S. states, you have a tax-collection obligation from your first sale. Use a built-in tax product (Stripe Tax, Cenoa Tax) and stop thinking about it. Filing manually quickly becomes its own job.
